Our medical clinic is a busy, vibrant place where every day brings something new. The Role
The Medical Receptionist is the heart of Wabano’s clinic operations. You will be the first point of contact for clients and visitors, helping ensure a smooth, welcoming, and professional experience from start to finish.
Key Responsibilities:

Create a warm, respectful, and culturally safe welcome for all clients, community members, and visitors.

Manage multiple clinic schedules, including bookings for physicians, nurse practitioners, and walk-in appointments.

Provide excellent customer service both in person and through phone and email communications.

Support clients in navigating services and provide accurate information about clinic processes.

De-escalate challenging interactions with patience, empathy, and professionalism.

Input and update personal and medical information in the electronic medical records system (preferably PS Suite).

Manage incoming and outgoing documentation with a high level of accuracy, confidentiality, and respect for privacy.

Prepare materials, type clinical notes, and create and maintain organized filing systems.

Support clinic flow and teamwork through flexibility, communication, and accountability.

Perform additional administrative tasks as assigned.
Qualifications

Education & Experience:

Post-secondary completion in Medical Office Administration, Administrative Assistant, or a related field.

Minimum one to two years of experience in a medical clinic or healthcare administrative role.

Demonstrated experience working with or understanding Indigenous communities and health care experiences.

Proficiency with Electronic Medical Records (EMR) systems (preferably PS Suite) and Microsoft Office tools.

Excellent customer service and communication skills — both verbal and written (phone, email, and in person).

Strong time management and ability to multitask in a fast-paced environment.

Proven ability to manage sensitive information with professionalism and discretion.

Demonstrated verbal de-escalation and problem-solving skills.

Knowledge of Indigenous and non-Indigenous health and social service systems in Ottawa is an asset.

Crisis Intervention Training certification is considered an asset.
Successful candidates will be required to provide a Criminal Reference Check for working with vulnerable populations.

Salary Range:
$46,000 to $50,000 plus benefits
